Microsoft has revealed a brand-new suite of productivity tools, Microsoft 365 Companions, designed to make workflow management, file access, and collaboration faster and more intuitive for Windows 11 users. Currently released in beta for organizational admins who opt-in, this suite includes three key apps — People, File Search, and Calendar — that live right in the Windows 11 taskbar.
The goal is simple: save time, reduce friction, and make Microsoft 365 experiences more accessible without disruptive app switching.
What is Microsoft 365 Companions?

Microsoft 365 Companions is a bundled suite of mini-apps integrated into Windows 11 to enhance productivity inside the Microsoft 365 ecosystem. These apps provide quick access to colleagues, files, and schedules — all without opening a full Microsoft 365 program window.
The initial lineup includes:

People Companion — A lightweight contacts and organizational chart tool.

File Search Companion — A cross-app file finding and quick preview experience.

Calendar Companion — Instant access to your schedule and meeting tools.
The apps are pinned to the Windows 11 taskbar, making them available at a glance.
Microsoft says these companions are first rolling out to Windows 11 desktop devices only and currently have no mobile version.
People Companion: Your Corporate Rolodex, Reimagined
Think of the People Companion as your shortcut to connecting with anyone in your organization.

Smart Search by name, title, location, department, project, or skill.

Organizational Charts let you see where a person sits in your corporate hierarchy — accessible by selecting Navigate to [person]’s org chart.

Availability Badges display if someone is free, and hovering over a profile reveals working hours, time zone, and work location.

One-Click Actions let you:

Send Teams messages instantly.

Start video calls via Teams.

Write emails directly from the profile menu.

File Search Companion: All Your Files, One Search

The File Search Companion helps you quickly locate Microsoft 365 files, no matter where they’re stored — OneDrive, SharePoint, Teams, Outlook, and other M365 locations.
Key features include:

Unified Search: Find files by name, content, or associated person.

Recent Files List: Home page shows your most recently accessed docs.

Filters: Narrow results by owner, type, and whether it was Created, Shared, Edited, or @Mentioned.

Quick Preview: Hover over a document and click Preview without opening the file.

Easy Sharing: Generate shareable links or send files directly from the results view.

Open Preferences: Choose to open files in the desktop app (default) or browser.
Calendar Companion: Meetings at Your Fingertips
With Calendar Companion, hopping between apps just to check your schedule is a thing of the past.

Taskbar Access: Open your calendar instantly without leaving your current workflow.

Search Meetings by organizer, participant, or title.

Join Meetings in One Click: Directly enter Teams meetings from the calendar view.

Switch Views: Toggle between Day or Agenda views.

Quick Actions: Edit meetings, chat with attendees, or copy meeting links on the fly.

Configuration & Customization
Admins and users can tweak the experience:

Disable Auto-Start: Go to Settings > toggle Auto-Start at Windows login to Off.

Pin to Taskbar: Right-click the app icon > Pin to Taskbar.

Choose File Opening Location: Desktop or browser.
-
Feedback: Use the Give Feedback button in the top-right of the app.
Why This Matters
This move represents Microsoft’s continued push to integrate Microsoft 365 more deeply into Windows 11’s core experience. By giving users instant access to people, files, and schedules directly from the desktop, Microsoft is further reducing the barriers between communication, content, and action.
In competitive terms, these Microsoft 365 Companions are Microsoft’s answer to Google Workspace’s quick-access tools and MacOS Spotlight-style integrations — but within the Microsoft cloud ecosystem.
